Navigant International (state contracted travel agent) handles all LSU travel. Travel reservations must be made through them in order to be eligible for reimbursement. Their address is as follows:

Paying for Travel Expenses

The LSU Corporate Travel Card must be used to purchase contract air fares from Louisiana Trave (Navigant International). The Corporate Travel Card may also be used to purchase penalty air fares from Louisiana Travel, to pay conference registration fees, hotels and meals -- any travel-related expenses.

The State Of Louisiana has contracted with Bank of America to issue Visa Travel Cards for state employees. The contract with American Express to provide corporate travel cards will expire April 30, 2004. The Visa travel card will replace the American Express Corporate Card previously issued to employees.

Current American Express cardholders in good standing will be automatically issued a Visa Travel Card. Bank of America defines "good standing" as accounts with charges outstanding for no more than 60 days. Any American Express cardholder not in good standing will have to complete a credit application and be approved for credit with Bank of America. Employees can continue to use their American Express cards until the new Bank of America Visa travel cards are issued.

Travel Forms and Regulations

LSU Travel Guide (AS254) cards, travel authorization, and travel expense voucher forms are on the bookcase located in the mail room. Also there is a separate authorization form for visitors. Please read all forms carefully. Travel authorizations must be filled out three weeks before your planned trip. According to Accounting Services, if the authorization is not filled out prior to travel, you may not be covered by LSU insurance. This applies whether you are traveling out of state, out of the country, or to another city in Louisiana. If you do not use the state authorized travel agent, you must have approval, in advance, from Donna K. Torres, the Executive Director of Accounting Services. There is a form in the mail room for this purpose.

Vehicle Usage

Travel authorization of personal or rental vehicles are required. The following will need to be done prior to your travel: a copy of your drivers license; Authorization and Driving History Form (must be filled out and approved before you leave); and a copy of the Automobile Bodily Injury and Property Damage Liability memo. (This memo must be kept with you at all times during your travel.) The Department must keep copies on hand, in case there is an accident.
